These Terms and Conditions ("Terms") govern your use of the Women Travel Tribe website, community, communications, tour pages, booking forms, payment pages, and related services offered by Remote Club, LLC, doing business as Women Travel Tribe ("Women Travel Tribe," "we," "us," or "our").
By using our website, joining our community, subscribing to our emails, submitting a booking request, making a payment, or participating in one of our tours, you agree to be bound by these Terms. If you do not agree with these Terms, please do not use our website, book a tour, or participate in our services.
1. About Women Travel Tribe
Women Travel Tribe offers small-group, women-only travel experiences designed primarily for women age 50 and over.
Women Travel Tribe sells tours under its own brand and collects tour payments directly from guests. We design, coordinate, promote, and manage the guest experience for our tours. The actual travel services provided during each tour may be delivered by independent local tour operators, guides, hotels, transportation companies, activity providers, restaurants, airlines, ferry companies, and other third-party suppliers.
These independent providers are not employees of Women Travel Tribe. While we make every effort to work with reliable and trusted partners, we do not directly own, operate, or control those third-party services.
2. Eligibility and Tour Fit
Our tours are designed for women age 50 and over. Women who are approaching 50 and feel that our trips are the right fit are also welcome to join.
By booking a tour, you confirm that you are able to participate in the tour you have selected and that you have reviewed the tour description, itinerary, physical demand information, accommodation details, rooming options, and any other important information provided on the tour page.
Each tour has its own pace, activity level, and physical demands. Some tours may include walking on uneven surfaces, stairs, hills, heat, altitude, boat rides, long travel days, remote areas, or other conditions that may not be suitable for every traveler. It is your responsibility to determine whether a tour is appropriate for your health, fitness level, mobility, comfort level, and personal circumstances.
If you have any medical, physical, dietary, mobility, or other concerns that may affect your ability to participate, you must contact us before booking or as soon as the concern arises. We will do our best to provide helpful information, but we cannot provide medical advice or guarantee that any tour will be suitable for your specific needs.
3. Booking and Payment
To reserve a spot on a Women Travel Tribe tour, you must complete the booking process and submit the required deposit through our website or another approved payment method provided by us.
All tour payments, including deposits and balance payments, are collected directly by Women Travel Tribe.
Your booking is not confirmed until we have received your deposit and sent you confirmation of your reservation.
Prices are listed on each tour page and may vary depending on room type, occupancy, optional add-ons, or other tour-specific details. We reserve the right to correct pricing errors at any time. If a pricing error affects your booking, we will notify you and give you the option to accept the corrected price or cancel for a refund of any amount already paid.
4. Payment Terms, Cancellations, and Refunds
Unless different terms are clearly stated on a specific tour page or agreed to in writing, the following payment and cancellation terms apply.
Deposit
Your deposit is refundable for 14 days after it is paid. You may cancel for any reason within those 14 days and your deposit will be refunded, minus a 3% transaction fee. If you cancel your booking after 14 days, the deposit is not refundable.
Balance Payment
The remaining balance is due 120 days before the tour start date. We will send a reminder before the balance due date, but it remains your responsibility to ensure that your balance is paid on time.
If your balance payment is not received by the due date, we may treat your booking as cancelled and your spot may be released.
Guest Cancellations and Refunds
If you cancel your booking:
- Within 14 days after paying your deposit: your deposit is refundable, minus a 3% transaction fee.
- After 14 days from paying your deposit: your deposit is non-refundable.
- 120-60 days before the tour start date: you are eligible for a 50% refund of the balance amount only, minus a 3% transaction fee.
- Within 60 days of the tour start date: no refund is available.
Refunds, when applicable, will be issued to the original payment method when possible. Processing times may vary depending on your card issuer or payment provider.
Because of the advance commitments required to operate small-group tours, we cannot make exceptions to this cancellation policy for personal emergencies, illness, injury, travel delays, weather, missed flights, family situations, changes in personal plans, or other unexpected circumstances. For this reason, we strongly recommend purchasing comprehensive travel insurance.
5. Travel Insurance
Travel insurance is strongly recommended for all guests.
A comprehensive travel insurance policy may help protect you against losses related to trip cancellation, medical emergencies, illness, injury, travel delays, missed connections, lost or delayed baggage, emergency evacuation, or other unexpected events.
It is your responsibility to review and purchase a policy that meets your needs. Women Travel Tribe does not provide insurance, does not act as an insurance provider, and is not responsible for coverage decisions, claim denials, exclusions, limitations, or the handling of any insurance claim.
6. Rooming and Accommodation
Rooming options vary by tour. Some tours offer both single and shared room options, some tours include single rooms only, and some tours may allow shared rooms only for guests traveling with a friend or partner.
The rooming options available for each tour will be listed on the individual tour page. You are responsible for selecting the appropriate rooming option at the time of booking.
Accommodation standards vary by destination and may differ from what you are used to at home. We choose accommodations based on a combination of comfort, location, character, safety, itinerary flow, availability, and overall suitability for the tour.
Specific room requests, including bed type, room location, adjoining rooms, or other preferences, may be submitted but cannot be guaranteed.
7. Itinerary Changes
We make every effort to operate tours as described on our website. However, travel involves many factors outside our control, and itineraries may need to be adjusted before or during a trip.
We reserve the right to modify itineraries, accommodations, transportation, activities, meals, guides, routing, or schedules when necessary or advisable due to weather, safety concerns, supplier changes, availability, local conditions, transportation delays, closures, strikes, illness, force majeure events, or other circumstances.
If a planned activity or service cannot be provided, we will make reasonable efforts to offer a suitable alternative when possible. No refund will be provided for itinerary changes that are necessary or outside our reasonable control.
8. Independent Local Operators and Third-Party Suppliers
Women Travel Tribe works with independent local operators and third-party suppliers to provide many of the services included in our tours. These may include, but are not limited to, local tour operators, hotels, guesthouses, lodges, cruise providers, restaurants, guides, drivers, transportation companies, airlines, ferry companies, activity providers, museums, parks, and other local partners.
These third-party suppliers are independent businesses and are not employees, agents, partners, or representatives of Women Travel Tribe, except where required by applicable law.
By booking a tour, you understand and agree that Women Travel Tribe is not liable for the acts, omissions, negligence, errors, delays, cancellations, changes, injuries, losses, damages, or failures of any independent third-party supplier.
9. Passports, Visas, Entry Requirements, and Travel Documents
You are responsible for ensuring that you have a valid passport, any required visas, entry permits, vaccinations, travel authorizations, or other documents required for your destination, transit countries, and return travel.
Passport validity requirements vary by country. Many destinations require your passport to be valid for at least six months beyond your travel dates and to contain blank pages.
Women Travel Tribe may provide general information or reminders, but we are not responsible for ensuring that you meet entry, exit, transit, health, visa, passport, or immigration requirements. If you are denied boarding or entry due to missing or incorrect documents, no refund will be provided.
10. Health, Safety, and Guest Responsibility
You are responsible for your own health, safety, behavior, belongings, and travel decisions during the tour.
By joining a tour, you agree to:
- Follow reasonable instructions from the tour leader, guides, local operators, drivers, and accommodation staff.
- Act respectfully toward other guests, local communities, guides, staff, and suppliers.
- Arrive on time for scheduled activities, departures, and transfers.
- Disclose relevant medical, dietary, mobility, or other concerns that may affect your participation.
- Avoid behavior that is unsafe, disruptive, abusive, discriminatory, threatening, or harmful to the group experience.
- Comply with local laws, customs, and regulations.
We reserve the right to remove a guest from a tour, without refund, if we determine that the guest's behavior is unsafe, disruptive, unlawful, abusive, or significantly harmful to the tour, other guests, local partners, or Women Travel Tribe representatives.
11. Meals, Dietary Needs, and Allergies
Included meals are listed on each tour page. We make reasonable efforts to accommodate dietary preferences, allergies, and restrictions when we are informed in advance.
However, we cannot guarantee that all dietary needs can be accommodated in every destination, restaurant, hotel, or local setting. We also cannot guarantee that meals will be free from cross-contamination or allergens.
Guests with severe allergies or medical dietary requirements are responsible for taking appropriate precautions and carrying any necessary medication or supplies.
12. Flights and Arrival/Departure Arrangements
Unless specifically stated on the tour page, airfare to/from the tour destination is not included in the tour price.
Airport transfers vary by tour and will be described on the individual tour page. Some tours include arrival and departure transfers, some include transfers only at set times, and some include group transfers only.
You are responsible for booking flights that align with the tour schedule and transfer details. Women Travel Tribe is not responsible for missed transfers, missed activities, additional hotel nights, extra transportation costs, or other expenses caused by flight delays, cancellations, missed connections, schedule changes, or booking errors.
13. Tour Cancellation by Women Travel Tribe
We reserve the right to cancel a tour if necessary due to insufficient enrollment, safety concerns, operational issues, supplier problems, force majeure events, or other circumstances that make the tour impractical, unsafe, or impossible to operate.
If we cancel a tour before departure, we will notify you as soon as reasonably possible and provide the options available at that time. These may include a refund of payments made to Women Travel Tribe, transfer to another tour, or credit toward a future tour, depending on the circumstances.
Women Travel Tribe is not responsible for additional expenses you incur in connection with a cancelled tour, including airfare, visas, travel insurance, vaccinations, hotels, transportation, or other personal costs. We strongly recommend purchasing travel insurance that includes trip cancellation and interruption coverage.
14. Force Majeure
Women Travel Tribe is not liable for any failure, delay, change, cancellation, injury, loss, or expense caused by events beyond our reasonable control.
These events may include, but are not limited to, natural disasters, severe weather, pandemics, epidemics, government actions, border closures, war, terrorism, civil unrest, strikes, labor disputes, transportation disruptions, flight cancellations, supplier failures, public health restrictions, crime, accidents, or other unforeseen circumstances.
In such cases, we will make reasonable efforts to assist guests and adjust arrangements where possible, but refunds are not guaranteed unless required by applicable law or specifically offered by Women Travel Tribe.
15. Website Content and Tour Information
We work hard to keep our website accurate and up to date. However, tour descriptions, pricing, availability, accommodations, activities, schedules, guides, photos, and other content may change or contain errors.
Photos are provided for general inspiration and may not represent the exact rooms, meals, locations, activities, vehicles, or conditions you will experience on a specific tour.
We reserve the right to correct errors, update information, change tour details, and modify website content at any time.
16. Community, Newsletter, and Online Conduct
Women Travel Tribe may operate online communities, email newsletters, social media pages, Facebook groups, comments sections, or other communication spaces.
By participating in these spaces, you agree to be respectful, kind, constructive, and honest. You may not post or share content that is abusive, discriminatory, threatening, harassing, defamatory, misleading, promotional, spammy, unlawful, or invasive of another person's privacy.
We reserve the right to moderate, remove, restrict, or block any content or user at our discretion.
17. User Content, Photos, and Testimonials
If you submit reviews, testimonials, comments, photos, videos, or other content to Women Travel Tribe, or tag us publicly on social media, you grant Women Travel Tribe permission to use, reproduce, edit, publish, display, and share that content for marketing, promotional, educational, or informational purposes, unless you specifically request otherwise in writing.
We will make reasonable efforts to use guest content respectfully and appropriately.
18. Intellectual Property
All content on the Women Travel Tribe website, including text, images, logos, graphics, tour descriptions, designs, branding, layout, and other materials, is owned by or licensed to Remote Club, LLC DBA Women Travel Tribe and is protected by copyright, trademark, and other intellectual property laws.
You may not copy, reproduce, distribute, modify, publish, sell, or use our content for commercial purposes without our prior written permission.
19. Privacy
Your use of our website and services is also governed by our Privacy Policy. Please review the Privacy Policy to understand how we collect, use, store, and protect your personal information.
20. Disclaimer of Warranties
Our website, community, communications, and services are provided on an "as is" and "as available" basis.
To the fullest extent permitted by law, Women Travel Tribe makes no warranties or representations of any kind, express or implied, regarding the website, tour availability, third-party suppliers, travel outcomes, community content, or any other services, including warranties of merchantability, fitness for a particular purpose, accuracy, reliability, safety, or non-infringement.
21. Limitation of Liability
To the fullest extent permitted by law, Remote Club, LLC DBA Women Travel Tribe, including its owners, officers, employees, contractors, representatives, affiliates, and agents, will not be liable for any indirect, incidental, consequential, special, punitive, or exemplary damages, or for any loss of profits, loss of enjoyment, emotional distress, loss of data, personal injury, property damage, financial loss, travel disruption, or other damages arising from or related to your use of our website, participation in our community, booking of a tour, or participation in any tour.
To the fullest extent permitted by law, our total liability for any claim arising out of or related to a tour, booking, website use, or these Terms shall not exceed the amount you paid directly to Women Travel Tribe for the specific tour or service giving rise to the claim.
Some jurisdictions do not allow certain limitations of liability, so some of these limitations may not apply to you.
22. Indemnification
You agree to indemnify, defend, and hold harmless Remote Club, LLC DBA Women Travel Tribe, including its owners, officers, employees, contractors, representatives, affiliates, and agents, from and against any claims, damages, losses, liabilities, costs, and expenses, including reasonable attorneys' fees, arising from or related to:
- Your use of our website, community, or services.
- Your booking or participation in a tour.
- Your violation of these Terms.
- Your violation of any law, regulation, or third-party right.
- Your conduct toward other guests, local partners, suppliers, or community members.
- Any information or content you provide to us.
23. Dispute Resolution, Mediation, Arbitration, and Governing Law
These Terms are governed by the laws of the State of Wyoming, United States, without regard to conflict of law principles.
If a dispute arises between you and Women Travel Tribe, both parties agree to first attempt to resolve the dispute informally and in good faith by contacting each other in writing.
If the dispute cannot be resolved informally, the parties agree to attempt mediation before pursuing arbitration or litigation, unless emergency injunctive relief is necessary.
If mediation does not resolve the dispute, any claim, controversy, or dispute arising out of or relating to these Terms, your use of our website, your booking, or your participation in a tour shall be resolved by binding arbitration, rather than in court, to the fullest extent permitted by law.
The arbitration shall take place in Wyoming, unless both parties agree to another location or remote arbitration. The arbitration shall be conducted in English by a neutral arbitrator. Judgment on the arbitration award may be entered in any court with proper jurisdiction.
You agree that any dispute will be brought only on an individual basis and not as part of a class action, collective action, or representative proceeding, to the fullest extent permitted by law.
Nothing in this section prevents either party from seeking relief in small claims court where permitted, or from seeking temporary or emergency injunctive relief in a court of competent jurisdiction.
24. Changes to These Terms
We may update these Terms at any time. When we do, we will post the updated version on our website with a new "Last Updated" date.
Your continued use of our website, community, or services after updated Terms are posted means you accept the revised Terms.
