Payments & Refunds
These terms apply to all tours promoted by Women Travel Tribe ("WTT"). All tours are operated by independent tour operators. WTT may collect and process payments as the operator's authorised payment agent to provide a smooth booking experience. Your travel contract is with the tour operator of record named on the tour page; these terms supplement the operator's own T&Cs.
Deposits
- A deposit (amount shown on the tour page/booking form) is required to reserve your spot on a tour.
- Refund window: All tours have their own deposit policies and these policies are stated on the bottom of each tour page under "Payment Terms". For some tours, deposits may be refundable for a period of time and for other tours, the deposit may be non-refundable once paid. Please note that when deposits can be refunded, a 3% transaction fee will be subtracted from the deposit amount.
- After the window ends: if a deposit is refundable for a stated period of time, once that period of time ends, the deposit becomes non-refundable.
- Within 90 days of the tour start: any deposit paid is non-refundable once paid.
- Refunds, when applicable, are returned to the original payment method and may take up to 10 business days to appear.
Balance Payments
- The remaining balance is due 90 days before the tour start date (unless otherwise stated on the tour page/proposal).
- If the balance is 10+ days late, a 6% late fee is added.
- If the full balance is not received 70 days before the tour start date, WTT may cancel your booking without refund of amounts already paid.
Guest Cancellations
- The specific cancellation policy for a tour is listed on each tour page under "Payment Terms".
- For some tours, cancellations made up to 60 days before the tour start date: 40% of the balance payment (deposit excluded) is refunded, minus a 3% transaction fee.
- For some tours, cancellations made up to 90 days before the tour start date: 40% of the balance payment (deposit excluded) is refunded, minus a 3% transaction fee.
- Cancellations made within 60 or 90 days, as stated on the individual tour page: no refund.
Discounts / Promotions
Only one discount, promotion, or sale price may be applied per booking.
Additional Services
Any extra services WTT helps arrange on your behalf are non-refundable once paid.
If WTT or the Tour Operator Cancels or Postpones a Tour
- Cancellation before departure (by WTT or the tour operator): You'll receive a 100% refund of deposit and any balance paid. WTT is not responsible for other costs (airfare, visas, insurance, independent hotels, etc.). You may instead choose to apply your full payment as credit to a future tour; once chosen, that credit becomes non-refundable.
- Postponement (by WTT or the operator): You may choose a 100% refund or transfer all payments to the new dates/another WTT-promoted tour. Please decide within 10 days of our email notice; otherwise, funds are applied to the new dates automatically. Transferred funds remain subject to the deposit/balance policies above. The original deposit date stays the same; the applicable tour start date becomes the new tour's start date.
If a Guest Cancels a Confirmed Spot
If you cancel your spot and the tour is still operating as scheduled, the standard cancellation schedule above applies. If WTT offers (at its discretion) a credit outside the stated policy:
- Credits are valid for 12 months from the date issued.
- Credits are not refundable once granted.
After the Tour Begins
Once the tour has started, WTT and the tour operator cannot provide refunds for any missed or changed components (activities, meals, entrances, experiences) due to weather, delays, safety, logistics, or tour-leader decisions. If you opt out of any activity or leave the tour early, no refunds or compensation are available for unused services or additional costs you incur. In the rare event a major itinerary change is required by the tour operator (e.g., removing an overnight destination), we will seek a suitable alternative, but no refunds are provided.
Refund Method & Timing
When a refund applies, it is issued to the original payment method, minus a 3% transaction fee if paid by credit card, and may take up to 10 business days to process and appear. Any currency conversion or card-issuer fees are your responsibility.
Chargebacks
Please contact us to resolve any issues. Initiating a chargeback without first following this policy may be treated as a cancellation under these terms, and WTT reserves the right to contest chargebacks.
Travel Insurance (Strongly Recommended)
WTT may present or link to travel-insurance options provided by third-party insurers. Any policy you purchase is governed by the insurer's terms; WTT is not the insurer and assumes no liability for coverage or claims. We strongly recommend a policy that covers cancellation, interruption, medical, and evacuation.
